Duties and Responsibilities:
- Provide administrative support to the HR Manager and act as a liaison between them and clients, contractors, suppliers and team members.
- Assist the HR Manager with drafting and editing business correspondence, including emails, reports, service proposals, and quotes tailored to client needs.
- Coordinate with the HR Manager and others to arrange meetings and appointments, ensuring calendars and schedules are managed effectively.
- Screen the HR Manager’s calls and emails, prioritising client and operational enquiries to ensure smooth service delivery.
- Prepare agendas, briefings, and operational reports for meetings, particularly those related to service delivery (including health and safety) and client account reviews.
- Take minutes during meetings, follow up on action points, and monitor progress to ensure commitments are met.
- Manage the HR Manager’s correspondence, including emails and letters, particularly regarding client contracts and service updates.
- Respond to inquiries and requests for information, ensuring a professional and timely response to clients and team members.
- Organise and maintain company records, including client files, employee files, contracts, and service logs, both physical and electronic.
- Maintain and update contact lists and the client database to ensure accurate and current records.
- Handle confidential and sensitive information, such as client contracts and business proposals, with utmost discretion.
- Support the HR Manager with project management tasks, including assisting with the roll-out of new orchard management services or operational improvements.
- Coordinate travel and accommodation arrangements for the HR Manager when visiting client sites or attending industry events.
- Support the HR Manager by periodically visiting orchards and working with team leaders and supervisors to gather accurate, up-to-date production data, such as bud numbers, fruit counts, and vine statistics.
- Ensure the office is well-organised and maintained.
- Assist with other tasks related to client services, business development, and operational support as needed.
Requirements:
- Minimum of 3 years’ relevant experience or a relevant tertiary qualification
- Strong understanding of HR systems within large organisations (100+ employees)
- Excellent communication skills
- Outstanding organisational and time management abilities
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Willingness to work occasional weekends and evenings
Job Type: Full-time
Pay: $33.00 – $35.00 per hour
Expected hours: No less than 30 per week
