Mō tēnei tūranga | About the opportunity
We are looking for an experienced Personal Assistant to become an instrumental member of our senior leadership team in our finance division. If you enjoy variety in a fast-paced environment, then this is your opportunity to demonstrate your initiative, excellent attention to detail and administrative skills whilst supporting our Director FP&A and Finance Director of Ingredients and their senior lead team.
You will play an important role in the overall smooth running of the function and provide high quality, tailored personal assistance and administrative support to enable the lead team to manage demands and to facilitate the most efficient and effective use of their time, allowing them to focus on strategic priorities.
Your days will be varied, where multi-tasking and juggling unpredictable requirements are commonplace however you will be part of a friendly and inclusive team that will work together and truly make a difference.
Keys responsibilities include:
- Efficiently schedule meetings within FP&A, Ingredients, and with senior stakeholders, including members of the FMT (Fonterra Management Team).
- Coordinate complex travel arrangements, ensuring seamless itineraries and necessary approvals.
- Manage budgets and expenses, including accurate reporting of accruals, purchase orders, and cost centre activity.
- Act as a key liaison between the Director of FP&A and Ingredients and internal/external stakeholders, ensuring clear and effective communication.
- Handle sensitive and confidential information with the highest level of integrity and discretion.
- Prepare detailed agendas, accurately capture minutes, track action items, and document key decisions made during meetings.
- Ensure the Directors are fully prepared for all meetings and engagements by organising and delivering timely correspondence, briefing papers, and presentations.
- Draft, review, and edit documents, reports, and presentations to ensure accuracy, clarity, and a high standard of quality.
- Plan, organise, and coordinate meetings, conferences, and business functions as required, ensuring all logistics are efficiently managed.
- Foster strong communication and teamwork within the Personal Assistant and Executive Assistant communities, promoting shared goals and ensuring mutual support.

Skills and attributes include:
- Bachelor’s degree in business administration, communication or a related field is preferred.
- Minimum of 10 years’ experience as a PA or in a similar role, preferably in a global corporate environment.
- Exceptional organisational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Strong problem-solving skills and attention to detail.
- Well-developed relationship management capability including the ability to build strong internal and external networks.
