About the organisation
Tautoko Tāne – Male Support Services Waikato is a Hamilton-based charitable trust supporting males of all ages who have experienced harm. They provide free, confidential services including peer support, counselling and advocacy, creating a safe and respectful space for healing.
We’re looking for a Reception & Administration Coordinator who will be the hub of the office – greeting clients and visitors, managing calls and referrals, keeping everything running smoothly, and helping maintain a welcoming environment for all.
About the role
You’ll be the first point of contact for clients, visitors, providers, and staff, ensuring they feel supported from the moment they arrive. Key responsibilities include:
- Welcoming and assisting clients, visitors, and providers
- Managing calls, messages, and client referrals (including data entry in their database)
- Booking provider rooms and organising resources, stationery, and supplies
- Supporting the admin team during leave periods
- Light housekeeping duties to keep spaces tidy, stocked, and professional
About you
You’re someone who brings:
- A warm, approachable manner and cultural respect
- Strong organisational and time management skills
- Excellent communication skills – polite, professional, and empathetic
- The ability to work independently and as part of a team
- Proficiency in MS Office and comfortable with computer systems
- Resilience and emotional maturity to handle sensitive information
- Lived experience relevant to our services is welcomed and valued, as it can offer additional understanding and empathy when supporting clients
