In this role you will ensure that the Shared Services Manager and teams are well supported and that reporting, business improvement initiatives and projects are well organised and delivered on time and of high quality.
Some of the key outcomes for this role include:
- Exceptional customer service is consistently modelled and delivered.
- Beneficial relationships with internal and external stakeholders are develop and maintained.
- Customer and stakeholder enquiries and requests are responded to in a timely and positive manner.
- Provide business support to the Shared Services Manager and wider Shared Services team.
- Lead projects that contribute to business improvement, including significant software and management system upgrades.
- Take on a lead or coordination/support role on designated projects as required.
- Manage purchasing requirements and ensure compliance with the corporate purchasing system.
- Raising and processing of monthly invoices.
- All records are maintained appropriately and in line with Council’s quality standards.
- Coordinate meetings, agendas, take meeting minutes.
- Assist the Shared Services Manager and wider Shared Services team with administrative tasks as required.
- Monitor and review key performance measures and work programmes as and when needed.
- Actively foster and maintain key stakeholder and customer relationships across the Councils and with external parties.
- Contribute to special projects as required.
- Improve work processes and systems.
This is a fixed term position to July 2026.
Qualifications

- Diploma in Business Studies or similar relevant experience.
- Strong financial acumen.
- Current clean drivers licence.
- At least 3 years’ experience in an administration / coordination role.
- Advanced level of competency in MS Suite, particularly Excel and Word.
- Excellent planning and organisation skills including time management, prioritisation and meeting deadlines.
- Proactive and displays initiative and the ability to undertake a wide variety of tasks without close supervision.
- Able to coordinate projects successfully through planning and coordinating resources to achieve desired outcomes within deadlines and budgets.
- Displays accuracy and attention to detail.
- Ability to work collaboratively and develop and maintain positive relationships with stakeholders.
- Ability to be innovative, problem solve and develop solutions particularly in terms of setting up new processes where these do not currently exist.
- Excellent verbal, written communication, and presentation skills.
