Truck Stops (NZ) LtdTruckstops Cromwell is seeking a reliable and enthusiastic Parts & Admin Assistant to join our team on a part-time fixed-term basis to cover leave. If you have a strong background in administration, love working with people, and want to support a busy workshop environment, this could be the role for you.
What You’ll Be Doing:
You’ll play a key role in the day-to-day running of our Cromwell branch, ensuring our customers receive excellent service and our workshop operates smoothly and efficiently.
Customer Service
- Greet all visitors in a friendly and professional manner.
- Answer incoming calls promptly and courteously.
- Keep customers informed on job progress, costs, and delays.
- Arrange bookings for recalls and campaign work.
- Maintain a clean and professional front-of-house area.
Workshop & Job Coordination
- Create and manage job cards with full vehicle and customer details.
- Issue order numbers for outwork and ensure proper cost allocation.
- Process supplier and outworker invoices daily.
- Support the invoicing process by updating chargeable items (labour, parts, oils, etc.).
- Provide transport for customers or staff as needed.
Administration & Reporting
- Ensure timely invoicing of work in progress (WIPs) for both parts and service.
- Manage paperwork: scan, file, and distribute COF sheets, job cards, and timecards.
- Assist with internal reporting as needed
- Maintain office supplies and support with general office duties.
- Ensure timesheets are accurately submitted for payroll (you will NOT be required to process payroll)
What We’re Looking For:
- Solid administration experience, preferably in a service or workshop environment.
- Friendly, customer-focused attitude with strong communication skills.
- Organisational skills and a proactive, can-do mindset.
- Excellent attention to detail and accuracy in data entry and invoicing.
- Confidence with technology and standard office systems.
- A strong commitment to health, safety, and maintaining a professional workspace.
