The Role

The Operations Support Administrator will liaise with the service team and Site Management to support tasks such as daily scheduling and dispatching of reactive and planned maintenance, tracking, reporting and escalating issues, reviewing timesheets and generating reports, and managing service purchase orders (P.Os).

The role also supports Accounts Payable (AP) and Accounts Receivable (AR) functions as part of broader team responsibilities.

You will also support recruitment activities such as screening candidates, coordinating and scheduling interviews, and managing pre-employment checks.

Key Responsibilities

  • Coordinate and allocate tasks for Planned and Reactive Maintenance across multiple services and contracts, ensuring complete task lifecycle management within CMMS systems.
  • Ensure the accuracy and quality of asset and maintenance data and records.
  • Screen applicants and shortlist suitable candidates.
  • Arrange pre-employment medicals, criminal checks, and reference checks.
  • Coordinate onboarding equipment with IT and order staff uniforms as required.
  • Operate the internal helpdesk line, managing calls from engineers and client service desks and updating tasks accordingly.
  • Support the Finance and Accounts team as required.
  • Close out work orders, enter close-off numbers, and perform checks to progress P.Os to "Approved by Team Leader" status.
  • Liaise with technicians daily to ensure SLA performance meets KPIs.
  • Perform general administrative and ad-hoc support tasks.

Skills and Experience

  • General knowledge of maintenance operations and coordination.
  • Experience in recruitment administration or HR support.
  • Strong computer skills, particularly in Microsoft Excel, and the ability to learn new systems quickly.
  • Excellent written and verbal communication skills.
  • Desirable: Training in Occupational Health & Safety (OH&S), Quality Assurance (QA), or Environmental Management.
