About the role:

We are looking for a proactive and detail-oriented Ticketing & Event Coordinator to join the team at Waikato Regional Theatre. Reporting to the Event & Hospitality Manager, this role is a vital part of ensuring seamless event delivery and outstanding ticketing operations.

You’ll be the first point of contact for clients during event builds, manage on-sale

requirements, and work closely with Ticketmaster, promoters, and venue hirers to maximise sales and enhance the patron experience. Alongside ticketing, you’ll play a key role in event coordination, ensuring that Front of House operations run smoothly and uphold the theatre’s high standards.

What you’ll be doing:

  • Ticketing Operations: Overseeing event builds, on-sales, and reporting to ensure a smooth ticketing process that delivers on client and patron expectations.
  • Client & Promoter Liaison: Acting as the go-to contact for clients, promoters, and Ticketmaster to provide clear, timely, and professional support.
  • Sales Reporting: Monitoring ticket sales daily, sharing insights with management, and recommending ways to maximise revenue.
  • Event Day Coordination: Supervising Box Office operations, ticketing staff, and scanning equipment to ensure seamless entry for patrons.
  • Front of House Standards: Presenting FOH areas to brand standards, managing signage and communications, and supporting casual staff.
  • Health & Safety Leadership: Playing an active role in health and safety compliance, staff training, and public safety initiatives.
  • Post-Event Review: Preparing ticketing reports and reconciling sales to ensure accurate settlements for clients.

What we’re looking for:

  • Ticketing Experience: Proven background in ticketing, ideally within a multi-genre venue, and confidence with systems such as Ticketmaster TM1.
  • Strong Organisational Skills: Ability to manage competing deadlines while maintaining accuracy and attention to detail.
  • Client Relationship Skills: Excellent communication and stakeholder management, with the ability to build strong, professional relationships.
  • Systems savvy: Proficiency in Microsoft Office and ability to pick up new systems quickly.
  • Adaptability: A proactive problem-solver who can thrive in a fast-moving, ever-changing environment.
  • Leadership Qualities: Confidence in supervising casual staff and drawing out the best in people.
  • Flexibility: Availability to work evenings, weekends, and public holidays as required by the events calendar.
  • Passion for Events: A genuine interest in delivering outstanding experiences within the arts, live entertainment, and events industry.
