About the role

We have an exciting opportunity for a highly organised and proactive Executive Assistant to join our Executive Leadership team. In this pivotal role, you’ll provide support to the Chief Executive Officer (CEO), Chief Financial Officer (CFO) and Chief Commercial Officer (CCO) ensuring the smooth operation of their daily activities and playing a critical part in the success of Synlait’s leadership function. You will also be responsible for providing administrative support to our Board of Directors to ensure the seamless coordination of all Board activity.

Based at our Dunsandel site, this position is ideal for someone who thrives in a dynamic, fast-paced environment and is passionate about enabling strong leadership and effective decision-making at the highest level.

Key responsibilities of this role include.

  • Providing proactive and confidential administrative support to the CEO, CFO and CCO.
  • Preparing and coordinating documentation for executive and board meetings.
  • Liaising with senior leaders, board members, and key external partners.
  • Manage complex calendars, including scheduling meetings, prioritising conflicting demands and coordinating travel arrangements.
  • Support with high-level project coordination, tracking progress and providing updates on critical initiatives.
  • Ensure that current and ongoing matters are followed up and closed out in agreed timeframes.
  • Coordinate meetings and prepare associated documentation, ensuring agendas and documentation is circulated.

Skills and Experience

The ideal candidate will have the following skills and attributes:

  • A minimum of 5 years’ experience supporting executives, ideally in a fast-paced, complex environment. Previous EA support of a CEO and Board would be preferable.
  • Excellent communication skills, with the ability to write clear, professional correspondence and confidently engage with a wide range of stakeholders, including executives, board members, and external partners.
  • Strong calendar and travel management skills, with the ability to juggle priorities.
  • A proactive, solution-focused mindset and ability to anticipate needs.
  • High level of integrity and discretion when working with confidential information.
  • Proven organisational skills and attention to detail.
  • A relevant qualification in business administration is desirable.
