About the Role: The Sales Processing is responsible for the receiving of customer orders, handling of customer queries in regard to their orders, dispatch and communications of order status. The role plays a pivotal part in the organization, communicating with customers, sales staff and the executive team on all aspects of orders and shipments. The Sales Processing Coordinator will work closely with the Production team on timing of orders and setting of priorities.
Responsibilities:
Orders Processing
- Day-to-day management of incoming orders and outgoing shipments including direct liaison with international customers and logistic organisations
- Order entry, invoicing, and related documentation
- Analysis of orders for correct detail including pricing
Freight Logistics
- Preparation of export licenses, certificates of origin and other country specific documentation.
- Arranging shipments via freight companies including international INCOTERM requirements
Administration
- Maintaining accurate filing of customer orders
- Ensuring End User details are obtained and correct for including into the corporate customer database
- Preparation of quotations supporting sales team requirements
- Other duties as assigned
Qualifications & Competencies:
- Relevant tertiary qualifications or relevant experience
- Understanding and preparation of export/import documentation
- Ability to prepare quotations for internationally based clients within agreed timeframes
- Ability to interface with peer roles within third party suppliers (predominately outside of New Zealand
- Knowledge of INCOTERMs for international shipments
- 2+ years’ experience in a closely associated role
- Exemplary organisation skills, including prioritising/reprioritising
- Ability to analysis information for correctness and highlight/correct inaccuracy
- Excellent computer skills including proficient use of Microsoft Office (Excel and Word)
- Experience in a previous role that encompasses at least 80% of the required skills
- Excellent written & oral communications skills
- Ability to flexibly prioritize workload
- Performance under pressure
- Ownership of problems until resolved
