Kōrero mō te tūranga - About the role
Kāpuhipuhi - Wellington Uni-Professional Ltd is growing its Scholarships team and is currently recruiting a full-time permanent position for a Programme Coordinator – Scholarships. This role supports the delivery of programmes under the Manaaki New Zealand Scholarship Programme, specifically the Thematic Short Term Training Scholarships (TSTTS) portfolio and New Zealand English Language Training for Officials (NZELTO) programme.
Key Responsibilities of the role:
Provide high-quality administrative and coordination support to enable the successful delivery of the portfolio of programmes under the Manaaki scholarships umbrella with strong attention to detail, quality and accuracy. This includes:
- Develop and maintain processes to support the operation and delivery of scholarship programmes.
- Maintain programme and scholar information in the application management system.
- Use mail merge to create scholarship letters, certificates and other documentation.
- Arrange scholar travel, accommodation and insurance.
- Engage with scholars and key stakeholders, providing relevant information and answering queries.
- Prepare orientation packs and assist in pre-departure briefings if applicable.
- Event & classroom logistics and delivery where applicable, including but not limited to room bookings, catering, set-up of venue and equipment.
- Financial tasks including invoice processing, stipend payments and reimbursements.
- Day-to-day pastoral care support as needed.
- Assist with the other international and scholarship programmes and activities as requested.
We require a cross-functional team where team members have the skills to step in and assist with programmes across the scholarships portfolio.
Whilst Programme Coordinators within the Scholarships Team will have responsibility for core tasks, they will also be required to assist other members of the team dependent on workflow.

To succeed in this role, you'll be a team player. Our perfect person will have some or all the education, experience and knowledge listed below:
- Proven experience in providing high quality administration, coordination, and support with a demonstrated ability to prioritise competing tasks and to work on several concurrent tasks effectively.
- Demonstrated experience in a client-facing role.
- Experience communicating within an organisation and with external stakeholders or clients.
- Demonstrated experience working successfully in a busy, high-performing team environment and demonstrated success with working in a fast-paced environment balancing speed with quality.
- A high level of technical competency in Microsoft Office products (in particular, Word, Excel, and PowerPoint), including mail-merges.
- Experience with WordPress, InDesign, and Photoshop, or similar, desirable.
- Experience with event or project management and public speaking useful.
- Experience in the education environment, especially the tertiary sector.
- Availability to work evenings and weekends, and travel if necessary.
