Korero mo te turanga - About the role
We are looking for an experienced Executive Assistant/Advisor (known internally as a Business Specialist) to work with the Kaihautu Digital Delivery and their team at Toitu Te Whenua Land Information New Zealand.
As a key member of the Kaihautu office and member of the Digital Delivery Business Management team, you will deliver end-to-end, seamless and professional support, planning and advice. You will be technologically savvy and open to trying new ways of working. Reporting to the Leader-Business Management, this Business Specialist role is part of a collaborative and supportive team. No two days will be the same and you will see yourself involved in a wide range of work.
- Manage dynamic calendars, schedule meetings, and coordinate travel and logistics.
- Mailbox management - organise, prioritise and respond to (where appropriate) Kaihautu emails, respond to emails in the shared Admin inbox, and maintain your own inbox.
- Prepare and load the Kaihautu's digital day pack with all relevant documents for the day.
- Appropriately handle confidential and sensitive information on behalf of the Kaihautu.
- Create agendas for senior leadership meetings, take actions and be an active member of the leadership team.
- Coordinate and maintain oversight of internal board papers for the Business Group - including ensuing they are completed to a high-level, signed off by the Kaihautu and submitted on time.
- Support the wider leadership team with adhoc administration tasks.
- Contract management and monthly reconciliation.
- Review documents, reports, and presentations as required.
- Contribute to government transparency and accountability processes including Written Parliamentary Questions and Official Information Act responses.
- An active member of the Business Specialist community of practice, providing input, improvements and advice on existing or new systems and processes.
- The first point of contact for the Kaihautu with internal and external stakeholders, delivering professional communications and correspondence.

To thrive in this role, you will have:
- Ability to work on varied tasks in a dynamic and often ambiguous environment with shifting priorities, showing flexibility and adaptability.
- Strong organisational skills while exercising sound judgment in managing competing demands and complex issues, sometimes with limited direction.
- Exceptional relationship management skills with the confidence to liaise with senior leaders, customers and stakeholders, internally and externally.
- Impeccable attention to detail when creating and reviewing material while also being able to work at pace.
- Strengths in thinking ahead and taking the initiative to deliver practical solutions.
- Ability and confidence to proactively identify and resolve issues/risks that may impact the Kaihautu from being able to deliver on their commitments and their responsibilities.
- Good understanding of operations and governance in large organisations, ideally with experience in the public sector.
- Knowledge of machinery of government would be a bonus.
The annual full-time salary range for this role is $75,000 to $85,000 depending on skills and experience.
