The primary objective of this role is to support the Supply Chain team in purchasing activities, predominantly by maintaining up to date purchase order and supplier out of stock information. This fixedterm role will provide support to the wider team as ProPharma works through major projects through to the end of 2025 and beginning of 2026. Activities will include purchase order creation, following up with suppliers on backorders and closing out purchase orders in a timely manner. Purchase Order management is done through SAP, our ERP.
Reporting to the Supply Chain Support Manager, the role is a key contributor to the overall operation of the department and will assist in all supply chain related continuous improvement activities. A positive relationship with peers in the business as well as suppliers is critical to success using effective written and verbal communication to resolve supply chain challenges.
What you will do:
- Optimise purchasing to support supply chain efficiency and product availability.
- Manage purchase orders from creation to delivery, including backorder resolution.
- Maintain accurate supplier ETA and out-of-stock information.
- Source products with good shelf life and minimise risk of obsolescence.
- Proactively manage SLOB stock to reduce write-offs through supplier negotiations.
- Collaborate with planning team to review supplier performance.
- Procure non-stocked items within company guidelines.
- Engage actively in team meetings and processes; plan leave to minimise impact.
- Provide timely reporting and exercise sound judgement in Health & Safety matters.
- Identify and escalate issues appropriately; support continuous improvement.
- Build strong relationships with suppliers and internal stakeholders.
- Respond to external customer requests within 24 hours or escalate if needed.
- Support purchasing improvement projects and audit processes.
What we are looking for:
- Experience working with diverse data sets and resolving data-related issues.
- Ability to extract, review, and re-upload data in collaboration with business stakeholders.
- Proficient in advanced Microsoft Excel functions (e.g., PivotTables, VLOOKUP).
- Experience with SAP, particularly in Purchasing and Sales Distribution modules, is advantageous but not essential.
