Are you an organised, proactive, and detail-focused professional looking for your next opportunity? Gilcom, a locally owned business in the Communication, Security & Electrical industry, is looking for an Office Manager to join their friendly and fast-paced team in New Plymouth.

About the Role
As their Office Manager, you’ll be the glue that keeps the business running smoothly - supporting both office and field teams with administration, finance, and operational tasks. From managing reception and keeping their systems humming, to ensuring their payroll and invoicing are spot-on, this is a pivotal role for someone who thrives on variety, responsibility, and making things happen. This role is central to keeping the operations running smoothly. It may start as a full-time (40 hour) role, with potential to reduce hours over time based on the evolving needs of the business.

Key Responsibilities

  • Keep the front office running: phones, visitors, mail, and supplies
- Maintain tidy and efficient filing systems - digital and physical
  • Manage vehicle admin (registrations, RUCs, etc.)
  • Run bank reconciliations, payroll, and IRD filing using Xero
  • Process payments, prepare documents for accountants, and support financial reporting
  • Use Tradify or Simpro to manage jobs, purchases, and generate invoices
  • Provide key admin support across the team

You’ll be using tools like:
Xero | Hubdoc | Tradify or Simpro | Microsoft Office | PayHero | Thunderbird

You’ll bring:
  • Great attention to detail, especially with numbers
  • Strong time management and a proactive mindset
  • Confidence communicating across all levels of the business
  • A calm, professional approach and ability to juggle priorities

Bonus points for:
  • Prior experience in a similar office role
  • Familiarity with Xero, Tradify/Simpro, and payroll processes
  • Payroll and IRD filing experience
