About the Role

We are seeking a proactive and detail-oriented Infrastructure and Investment Group (IIG) Regional Support Coordinator to join our IIG - Regional Capital Planning team supporting capital planning across the Te Waipounamu region.

This pivotal role provides advisory and coordination support for IIG capital planning processes, including being the first point of review for business case and capital expenditure submissions from local districts. You'll work closely with district and regional stakeholders to ensure submissions are accurate, complete, and aligned with regional and national investment standards.

As part of this role, you'll support Portfolio Programme Project Management (P3M), coordinate and track submissions, develop tools and templates, and provide process-based advice. You will also support the wider planning team by facilitating meetings, providing performance insights, and maintaining strong communication channels across the region.

The IIG team are focused on delivering high-impact infrastructure investments that support the transformation of New Zealand's health system. Giving support, oversight and assurance across projects and programmes, they understand that safe, fit for purpose health facilities, sites and equipment are essential for a well-functioning health system that improves the health of all New Zealanders.


Key Responsibilities

  • Act as the first reviewer of business case submissions, ensuring quality, accuracy and compliance.
  • Provide advice to districts on capital planning processes and submission expectations.
  • Identify and escalate risks or gaps that could delay approvals or affect compliance.
  • Track and coordinate business case progress using the P3M tool.
  • Create and maintain high-quality tools and templates (e.g. checklists, process maps).
  • Support regional planning reporting and insights.
  • Coordinate the annual investment planning cycle and business case approval processes.
  • Develop presentations and flowcharts for T4 Management as required.
  • Provide general administrative support to ensure smooth team operations.

About you

Essential Qualifications and Experience:

  • Level 4 qualification or higher in business administration, project coordination, or similar.
  • Minimum of 5 years' experience in senior administration, coordination, or capital planning support, ideally within a complex or public sector environment.
  • Proficiency in project management tools such as P3M or equivalent.
  • Strong document review and quality assurance skills.
  • Excellent verbal and written communication skills.
  • Proven ability to organise, prioritise and manage multiple tasks.
  • Advanced Microsoft Office skills, especially Word, Excel, PowerPoint and PDF editing.
  • Experienced in diary management, meeting coordination, agenda setting and minute taking.
  • Understanding of Te Tiriti o Waitangi and how it informs our work.

Desired:

  • Background in project coordination or health sector administration.
  • Familiarity with public infrastructure investment frameworks and business case development.
  • Knowledge of the capital planning lifecycle in health or public sector settings.
