Are you a proactive, organised, and people-focused professional with a passion for supporting senior leaders?
We're looking for a couple of experienced Executive Support staff to join our Property and Digital teams at the Ministry of Justice.
In Property, you will provide high-level administrative and executive support to the General Manager Property and in Digital you will directly support the Chief Digital Officer (CDO), Chief Information Security Officer (CISO), and the wider Digital Leadership Team.
Te whiwhinga mahi/The Opportunity
You'll manage diaries, coordinate meetings, prepare documentation, and act as a key liaison with internal and external stakeholders. Your ability to anticipate needs, maintain confidentiality, and juggle multiple priorities will be essential to your success. You'll also play a vital role in collating, consolidating, and distributing critical information to ensure the smooth flow of communication and decision-making across the team.
Your key responsibilities in this role will be, but not limited to:
- Manage calendars, emails, and meeting preparation
- Provide executive-level administrative support, including minute-taking and action tracking
- Coordinate travel, events, and presentation materials
- Maintain effective systems for information and records management
- Support team effectiveness and contribute to continuous improvement initiatives
You'll also contribute to wider process improvements and support the Property and Digital business units with general administration.
Both roles are permanent, full-time, however, we are open to discussing part-time hours for the position in the Digital team.

To be successful in the role, you will have:
- Demonstrable experience in a similar executive support role
- Strong communication and relationship-building skills
- Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint, and OneNote)
- Excellent attention to detail, time management, and problem-solving abilities
- A collaborative team player who thrives in a dynamic environment

Utu ā-tau/Salary
The remuneration band for this role is $59,729 - $80,794 - while the appointing salary will be based on skills and experience, we are willing to pay higher in the band to attract strong candidates into this role.
